Managing your inventory across marketplaces

When you list the same item on more than one marketplace, it is important to keep your inventory up to date across each channel.

Aistetic helps you manage this through the dashboard, but some marketplaces still require you to be logged in and have the marketplace open for the sync or removal step to complete.

 

Why this matters

If an item sells on eBay but is still live on Vinted, Depop or another marketplace, there is a risk that the same item could sell again elsewhere.

This is known as a double sale. It means two buyers have bought the same item, but only one item is available to fulfil.

To avoid this, we recommend checking your sold items regularly and syncing your inventory from the Aistetic dashboard.

 

Recommended workflow
Check your sold items regularly in the Aistetic dashboard.
When an item sells on one marketplace, identify where else that item is currently listed.
Open the relevant marketplace accounts, for example Vinted or Depop, in your browser.
Make sure you are logged in to each marketplace.
Return to the Aistetic dashboard and run the sync or removal step for the sold item.
Confirm that the item is no longer visible for sale on the other marketplaces.
Fulfil the order on the marketplace where you are completing the sale.
 

Important note on Vinted and Depop

For Vinted and Depop, the marketplace needs to be open and you need to be logged in for the sync or removal process to work correctly.

This is because these marketplaces provide more limited access than some other platforms, so Aistetic cannot always complete every action in the background without an active marketplace session.

If an item has already sold on Vinted or Depop as well, it can no longer be delisted in the normal way because the marketplace now treats it as a sold order. In that case, you will need to handle it through that marketplace’s order process, for example by cancelling or refunding the order if you are fulfilling the sale elsewhere.

 

Best practice

To reduce the risk of double sales, we recommend building a simple daily process:

  • Check sold items in the Aistetic dashboard.

  • Open Vinted and Depop in your browser and make sure you are logged in.

  • Sync your sold items from the Aistetic dashboard.

  • Check that sold items have been removed from the other marketplaces.

This is especially important if you are listing the same inventory on eBay, Vinted and Depop at the same time.

 

What we are working on

We know manual checks are not ideal. We are continuing to improve marketplace workflows and cross-marketplace syncing where marketplace access allows it.

For now, the safest process is to regularly check sold items in the Aistetic dashboard, keep Vinted and Depop open when syncing, and confirm that sold items have been removed from any other marketplace where they were active.

Troubleshooting

Before troubleshooting, check these two things first.

1. You need at least one marketplace connected
Listing generation requires at least one marketplace to be connected before it can work properly. This is because ListingFlow prepares different data depending on the marketplace. For example, eBay, Vinted and Depop each require different fields, formats and publishing rules.

To check this, go to Settings > Market and make sure at least one marketplace is connected.

2. Publishing currently needs to be done from a laptop/desktop

You can upload photos from mobile, but publishing to eBay, Vinted or Depop currently needs to be completed from a laptop or desktop.

Mobile publishing support is on the way and will be rolled out soon. In the meantime, please use a laptop when you are ready to publish your listings.

Why is my eBay listing not generating and / or not publishing?
A quick checklist for the most common eBay publishing issues.

 

Problem
You try to publish a listing to eBay from ListingFlow, but the listing does not go live. This can happen for a few different reasons. Some are linked to your ListingFlow setup, and some come directly from eBay.
 

What to check first

1. Check your eBay account is connected
Go to Settings > Market > eBay and check that your eBay account is connected. If it is not connected, reconnect your eBay account and try publishing again.

2. Check your eBay Store Policies are selected


eBay requires your Fulfillment, Payment and Return policies as well as inventory location before listings can be published. If these have not been selected in ListingFlow, eBay may reject the listing.

Go to Settings > Market > eBay and select your Fulfillment, Payment and Return policies. Once saved, try publishing again by selecting the item, clicking Listing, then eBay.

3. Check your eBay seller account is fully onboarded


Sometimes eBay blocks publishing because the eBay account itself has not completed seller onboarding.
 

What this looks like

You may see an error like:

“Before you can list this item we need some additional information to create a seller account.”

This means the issue is coming directly from eBay. It is not usually caused by the listing content in ListingFlow.

 

How to resolve it

Log into the same eBay account connected to ListingFlow and complete eBay’s seller account setup. This may include confirming your seller details, payment details, identity checks or selling permissions.

If eBay gives you an onboarding link, open it while logged into the same eBay account. If the link does not work, try creating a listing manually on eBay. eBay should then prompt you to complete the missing seller account setup.

Once eBay confirms your seller account is ready, return to ListingFlow and try publishing again.

Why is my Vinted or Depop listing not generating or publishing?

 

A quick checklist for the most common Vinted and Depop publishing issues.

 

Problem
You try to generate or publish a listing to Vinted or Depop from ListingFlow, but the listing does not generate correctly or does not go live. This can happen if the marketplace is not connected, the Chrome extension is not installed or enabled, or you are not logged into the marketplace in the same browser.

What to check first

  1. Check the marketplace is connected
    Listing generation requires at least one marketplace to be connected. This is because ListingFlow prepares different data depending on the marketplace.

Go to Settings > Market and check that your Vinted or Depop account is connected.

2. Install the Chrome extension
Publishing to Vinted and Depop uses the ListingFlow Chrome extension. You need to install the extension before publishing can work.

3. Check the Chrome extension is enabled and up to date
After installing the extension, check that it is enabled in Chrome.

Open Chrome, go to Extensions, and make sure the ListingFlow extension is turned on. If Chrome shows that an update is available, update the extension before trying to publish again.

4. Log into Vinted or Depop in the same browser
Open Vinted or Depop in the same Chrome/Safari browser where the extension is installed. Log into the same account you want to publish to.

Keep the Vinted or Depop tab open while publishing from ListingFlow. The extension needs access to your active logged-in browser session to complete the publishing flow. If the browser is closed, your laptop is asleep, or you are logged out, scheduled publishing may not complete.

5. Keep the browser open for scheduled posts
If you are using scheduled posts, your laptop needs to be on, Chrome needs to be open, and you need to stay logged into the relevant Vinted or Depop account.

If the browser is closed, your laptop is asleep, or you are logged out, scheduled publishing may not complete.

6. Use a desktop or laptop to publish
You can upload photos from mobile, but Vinted and Depop publishing currently works through the Chrome extension. Because of this, publishing needs to be done from a desktop or laptop.

Mobile publishing support is on the way and will be rolled out soon. In the meantime, please use a desktop or laptop when you are ready to publish.

Why is my eBay listing showing a 404 / "Resource not found" error?

A quick checklist for eBay listings that fail with an inventory item error referencing a 404 status.


Problem
You try to publish a listing to eBay from ListingFlow, and it fails with an error similar to:
"error upserting inventory item: error processing inventory item: API returned non-success status code: 404... Resource not found... A resource (URI) associated with the request could not be resolved."
This usually points to the UUID/SKU used for the item, rather than an account or policy issue.
 

What to check first

Check your UUID/SKU for special characters
eBay does not support special characters in the UUID/SKU field. If your UUID contains characters outside of standard letters, numbers, and hyphens, eBay will reject the request when ListingFlow tries to create or update the inventory item.

What this looks like
Your UUID/SKU includes symbols such as £, /, @, or similar special characters, rather than a clean alphanumeric string.


How to resolve it
When uploading, either let ListingFlow generate a unique UUID automatically, or set your own UUID using only letters, numbers, and hyphens (no special characters).

Depop Publish Error: 404 "Address Not Found"

 

What this means

If you try to publish or relist an item to Depop and get a 404 error saying "Address not found," this is caused by an incomplete shipping/return address in your Aistetic Depop market settings.

 

How to fix it

  1. Log in to your Aistetic dashboard

  2. Go to Market Settings > Depop

  3. Check that your address is fully completed, including postcode

  4. Click Save

  5. Try publishing or relisting the item again

 

Why this happens

Depop requires a complete return address before it will accept new listings. Aistetic passes your saved address through when publishing, so any missing field, most commonly postcode or county, will cause Depop to reject the request.

Why is my eBay listing failing with a "Core Inventory Service internal error"?
A quick checklist for eBay listings that fail with a 500 status error referencing the inventory service.


Problem
You try to publish a listing to eBay from ListingFlow, and it fails with an error similar to:
"error upserting inventory item: error processing inventory item: API returned non-success status code: 500... errorId 25001... Core Inventory Service internal error"
This is different to the 404 errors covered above. A 500 error like this comes directly from eBay's own systems having a temporary problem processing the request, rather than an issue with your listing data, UUID/SKU, or ListingFlow setup.
 

What to check first
This error is not usually caused by anything in ListingFlow or your listing content. It means eBay's inventory service had a brief internal issue at the moment you tried to publish.


How to resolve it
Refresh the page and try publishing the item again. In most cases, the retry will go through without any changes needed on your side.

 

Still not working?
If the same item continues to fail with this error after a couple of retries, send us a screenshot along with the item's SKU. We'll take a closer look to check whether it's a wider eBay service issue or something specific to that item.
